Who is responsible

Quaestor Books is operated by Steven Lawrence LLC. Where the law calls somebody the controller of your information, that is us. You can reach a person at booksquaestor@gmail.com.

What is collected

What you type in

• Your email address, and a scrambled version of your password.
• The details of your set of books: name, legal name, business type, address and tax number.
• Every entry you record: date, amount, what it was for, where the money moved, any reference number, and your own notes.
• Anything you put in the report footer, such as who prepared a statement.
• Customers and suppliers you add, and the invoices and bills between you.
• Receipts you attach — photographs or PDFs. These are stored outside the website folder, where no web address reaches them, and are handed back only to you.

What the app records by itself

• The date and time of each sign in attempt, whether it worked, and the internet address it came from. This is shown to you in Settings so you can see attempts that were not you.
• The internet address an account was created from, used only to stop the same source creating accounts in bulk.
• Ordinary web server logs kept by the hosting company.

What is not collected

• No advertising or analytics trackers of any kind.
• No bank logins. The app never connects to your bank.
• No card numbers. Nothing is charged through this site today.
• No location, no contacts, no device fingerprinting.

Why it is held

To run the service: to sign you in, to keep your books, to build the statements you ask for, and to send you the three emails the app sends — confirming your address, a sign in link when you ask for one, and a password reset when you ask for one.

We do not send marketing email, and there is nothing to unsubscribe from.

How it is protected

• Your password is never stored. What is kept is a one way scramble that can check a password without revealing it. Nobody can read it back, including us.
• Your tax number is encrypted before it is written to the database, and the key is held outside the part of the server that faces the web. It is unreadable in a backup and unreadable to anyone who obtains a copy of the database.
• Everything travels over an encrypted connection. Requests made over plain http are moved to the secure address before anything is typed.
• Your books are fenced off. Nothing is read from the database without your own set of books attached to the request, so one member cannot reach another's figures.

No system is perfect and nobody honest promises otherwise. If information here is ever exposed, we will tell affected members and the relevant authorities as the law requires.

Who else sees it

Nobody buys it and nobody rents it. It is handled by:

• Our hosting company, which stores the server the app runs on.
• Google, whose mail service delivers the app's emails. Only the address being written to and the contents of that message pass through it.

Beyond that, information is disclosed only where the law requires it, such as a valid court order.

Cookies

One cookie, set when you sign in, which keeps you signed in. It carries no information about you, it cannot be read by scripts, and it is not used to follow you anywhere. There are no advertising or analytics cookies on this site.

How long it is kept

• Your books stay for as long as your account is open. They are yours, and old entries matter — the app deliberately reaches back to the year 2000.
• Receipts you upload stay with the entry they belong to, and go when it goes.
• Sign in records are kept as a short rolling history.
• The database is copied nightly and the most recent two weeks of copies are kept. A deleted account disappears from those copies as they roll over.

What you can ask for

None of this requires asking us. All of it is in the app.

• A copy. Settings has two buttons: every entry as a spreadsheet, and everything as a single file — entries, customers, suppliers, invoices, bills and repeats together. Every report also exports to CSV and JSON. Receipt files are not inside either export; open each one in the app to save it.
• A correction. Everything is editable. Nothing is ever locked against you, and no month is ever closed.
• Deletion. At the bottom of Settings. It removes the set of books and everything in it, including receipt files off the disk. If it is your only set of books, your account goes with it. You type your own email address to confirm, and it cannot be undone.

Deleted information disappears from the nightly backup copies as those roll over, within two weeks.

Depending on where you live you may have further rights — to know what is held, to object to how it is used, or to complain to a regulator. Write to us and we will handle it properly rather than making you fight for it.

Children

This is a tool for running a business. It is not intended for anyone under 18, and accounts are not knowingly created for them.

Changes

If this changes, the date at the top changes with it. Anything that materially affects how your information is handled will be sent to your email address rather than quietly edited in.

If you are asking for a copy of your information or asking us to delete it, both are buttons inside the app under Settings and do not need us at all — but write if you would rather we did it.
